Privacy Policy: Us and Your Data

What is the point?

It is important to us (and should be to you too!) that you know what happens to any data we collect from you through this web application. This privacy policy is here for you to understand how we collect, use, communicate, disclose and otherwise make use of personal information when using our Services.

Below is the summary of this privacy policy:

So, what data do you collect and why?

The data we collect allows us to personalise your experience, improve our website and assist you with any issues using our services.

Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your Web browser (if you allow) that enables the site’s or service provider’s systems to recognize your browser and capture and remember certain information. For instance, we use cookies to help us remember your language preferences, sign-in details or locale. They are also used to help us understand your preferences based on previous or current site activity, which enables us to provide you with improved services. We also use cookies to help us compile aggregate data about site traffic and site interaction so that we can offer better site experiences and tools in the future.

We use cookies to:
  • Understand and save your preferences for future visits
  • Compile aggregate, impersonal data about site traffic and site interactions in order to offer better site experiences and tools in the future. We also use trusted third-party services (Google Analytics) to track this information on our behalf.
VATSIM Details

To gain access to main application of this site, you pass through VATSIM's SSO service. VATSIM is a non-profit organization operating a internet-based flight-simulation network, and you must be a valid member of VATSIM to utilise this service. VATSIM will only pass us: Your CID, Your Name, Your Home State/Division and Your VATSIM Pilot/ATC rating(s). We will only process and store your publicly available VATSIM name, CID and locality.

We use your VATSIM details to:
  • Verify your identity
  • Reduce malicious attacks against our services
  • Personalise your experience
  • Comply with COPPA regulation

On some of our Services we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

Connection Information

As part of our authorisation system, we record the IP address of users accessing restricted parts of our app, such as after a successful authentication or when using an API token. This is only used for the purpose of protecting this app against unauthorised / malicious use, and this data is periodically deleted on a rolling basis.

Now how do you store my data?

Data may be stored locally on your device or on a Cobalt Grid operated server machine. At all times we seek to take the necessary precautions to safeguard your data. This includes encrypting data sent from us to you and vice versa through methods such as Secure Socket Layer (SSL) end-to-end encryption, as well as encrypting any sensitive information (of which this service currently does not handle).

In the event of a data breach, we will ascertain which users, services and data were compromised. As we hold no contact information for you, we will seek to inform VATSIM Membership Services detailing users affected and where possible which data was compromised.

How can I access, update or delete my personal data?

As all personal data we store is handed to us from VATSIM's SSO service, please refer to them for overarching access, update or deletion requests. Under GDPR you may still access, update or delete your data from our systems. You can send your request through the Contact Us page, or in writing to
